An auto-attendant — sometimes called an IVR (interactive voice response) — is the friendly automated voice that answers your line and points callers to the right place: "Thanks for calling Acme. Press 1 for sales, 2 for support…" Done well, it makes a small team sound polished and makes sure no call lands on the wrong desk.
What it does
Instead of one phone ringing and hoping someone grabs it, the auto-attendant answers instantly, every time, and routes each caller based on what they need. It can:
- Greet callers with your business name and options
- Send people to sales, support, billing, a person, or a location
- Play hours and directions without tying up staff
- Route differently by time of day, and hand off to voicemail after hours
The goal isn't to keep people away from a human — it's to get them to the right human faster.
How to set one up
- List where calls should go. Sales, support, billing, specific people or locations — and who covers each.
- Keep the menu short. A handful of clear options beats a long list. Put the most-requested option first.
- Write a concise greeting. Business name, then options, then a way to reach a person. Brief wins.
- Set schedules and fallbacks. Define business-hours vs. after-hours behavior and where unanswered calls go — usually a ring group plus voicemail-to-email.
- Record, test, and refine. Record the prompts, call through every option, and adjust based on how real calls flow.
Auto-attendant best practices
- Lead with your busiest option. If most callers want sales, make it option 1.
- Always offer a human. A "press 0 / stay on the line" path prevents frustration.
- Don't over-nest. Menus inside menus inside menus lose people. Two levels is plenty for most businesses.
- Match your hours. After-hours callers should hear different options, not ring endlessly.
- Revisit it. If everyone presses 3 to reach a person, your menu needs a tweak.
