What is a cloud PBX?

A PBX — private branch exchange — is just the system that runs a business's phones: it answers calls, plays the greeting, and sends each caller to the right extension or department. A cloud PBX does all of that, but it lives on secure servers in a data center instead of a box on the wall in your back office.

The short version

With a traditional PBX, you buy hardware, install it on site, and maintain it. With a cloud PBX, the phone system is delivered as a service over the internet. You get the same call routing, extensions, voicemail, and auto-attendant — without owning or babysitting the equipment.

Think of it like email. You don't run your own mail server in a closet; you use a hosted service. A cloud PBX brings that same model to your phone system.

What a cloud PBX does

  • Answers and routes calls with an auto-attendant and rules you control — by department, schedule, or call type.
  • Gives everyone an extension whether they're on a desk phone, a mobile app, or a desktop app.
  • Rings the right people using ring groups and queues so calls don't hit a dead end.
  • Captures messages and can deliver voicemail straight to email.
  • Follows your team — the same business number works at the office, at home, or on the road.

Cloud PBX vs. a traditional PBX

The difference comes down to who owns and maintains the system, and how flexible it is:

  • Hardware: A traditional PBX needs on-site equipment; a cloud PBX doesn't.
  • Maintenance: On-site systems need someone to update and repair them. A cloud PBX is maintained for you.
  • Remote work: Cloud systems are built for apps and mobility; older systems often aren't.
  • Scaling: Adding a user to a cloud PBX is a settings change, not a hardware project.

Who is a cloud PBX right for?

It fits almost anyone who wants professional call handling without an IT department: small businesses, home offices, commercial properties, and property managers. If you need calls routed intelligently, coverage across devices, and someone else to handle the technical side, a managed cloud PBX is usually the practical choice.

The one thing to confirm is a decent internet connection at each location — because calls travel over the internet, quality depends on it. In practice, most modern connections handle voice easily.

The bottom line

A cloud PBX is a full business phone system delivered as a service. You keep the control and the features; you drop the hardware, the maintenance, and the complexity. For most businesses and properties today, that's a better trade.
