Phone systems for property management companies

Owners, tenants, prospects, and vendors all call one company about many properties. Managed VoIP gives you portfolio-wide routing — organized by property and function — so the right call reaches the right manager, and after-hours emergencies never fall through.

The challenge

Many properties, many callers, one company

A management company fields leasing inquiries, tenant maintenance requests, owner questions, and vendor coordination — often across dozens of buildings — with a small team that can't afford to lose calls in the shuffle.

You need call flows that scale across a portfolio, clean separation between caller types, and reliable after-hours coverage — without an enterprise-grade IT project.

Common pain points

  • Tenant, owner, and vendor calls all on one line
  • After-hours maintenance with no clear path
  • Managers using personal cells across buildings
  • No visibility when calls get missed
How we solve it

Portfolio-wide call handling, organized

We design the routing across your properties and functions, then configure and support it for you.

Route by property

Direct callers to the manager or team responsible for each building or region across your portfolio.

Separate caller types

Split leasing, maintenance, owners, and vendors so each conversation reaches the right person.

After-hours emergency routing

Send urgent maintenance to an on-call group after hours, with voicemail-to-email backing it up.

Work from anywhere

Managers cover any property from mobile and desktop apps — no personal numbers, full coverage on the go.

Queues, recording & reporting

Add queues for a central office, plus recording and call analytics on capable plans for oversight.

Tenant & owner texting

On SMS-capable plans, send updates and confirmations from your business number.

Questions

Property management VoIP FAQs

Can calls be routed per property and per function?

Yes. We build call flows that separate leasing, maintenance, owners, and vendors, and can direct calls to the property manager responsible for each building or region.

How are after-hours maintenance emergencies handled?

Outside office hours, emergency calls route to an on-call ring group or contact, and everything else goes to voicemail-to-email so it is followed up the next business day. Emergency routing is included on our commercial OfficeConnect Plus and Enterprise plans.

Can staff work from anywhere and cover multiple buildings?

Yes. Managers use mobile and desktop apps so they can take calls for any property from anywhere, without giving out personal numbers, and calls can ring a group so coverage never depends on one person.
